HELP-ICE.com keeps your private information private.

Internet users value their privacy. HELP-ICE.com takes this into account and handles your private information with care. We do everything we can to protect your data. On this page, we explain when we use your data and how we handle it, so you can make a well-informed decision about whether you want to provide us with your data.

When is which data stored?

Your name and address:

As you navigate through our site, you will see that we ask for your name and address at several points:

  • The contact form,
  • The ordering process,
  • Subscribing to the newsletter,
  • Logging in,
  • The form to email you when a product is back in stock.

On these pages, your data is sent to us. Depending on the page, we ask for the following information:

  • First and last name,
  • Street name, house number, and extension,
  • Postal code, city, and country,
  • Email address and telephone number,
  • A password,
  • Your payment preference,
  • Organization name,
  • Contact person,
  • VAT number,
  • Location addresses and telephone numbers,
  • Location contact persons,
  • Organization logo,
  • Organization link.

When creating a user profile page, the information you provide is sent to us. Depending on the page, we ask for the following information:

  • For yourself or loved ones,
  • Street name, house number and extension, postal code, city, and country (optional navigation to residential location),
  • Vulnerability theme(s): choice(s) from more than 60 standard instructions & URL(s) & specific theme questions,
  • Personal Instruction: Field(s), title(s), instructions & URL(s) & specific personal theme questions,*
  • 112 / Alarm Button: 112 general or related to the user's emergency phone number,*
  • ICE Contact names, relationship to the user*, email address, phone numbers

The following user profile information is visible to passersby or emergency responders in the event of a situation or emergency. This is only possible by tagging with a mobile phone or scanning the QR code via the HELP-T wearable item.

  • First and last name,
  • Date of birth,
  • Navigation button, confirmation question for alert email notification, Enable
  • ICE contact(s), Google Maps, residential location as address data (only visible if enabled),
  • Vulnerable theme(s) selection(s) with standard instructions & URL(s) (optional),
  • Personal Instruction Field(s), title(s), instructions & URL(s) (if filled in),
    112 / Alarm Button, - 112 General / Alarm button selection to user, Mobile or phone button (Call confirmation question, then phone number only visible when pressed to be able to call directly and only visible if enabled),
  • ICE 1 2 & 3 Contact, relationship to user, Mobile or phone buttons (phone number only visible when pressed to be able to call directly),

The described profile and essential data can be accessed directly via the mobile browser of the mobile phone of the assisting passersby and/or first responder in the event of a situation or emergency. The HELP-ICE NFC Tag or QR code connects to the unique HELP-ICE.com/User profile and is visible for 30 minutes. After that, the URL link is offline. Copying and reopening the URL is not only possible with a wearable HELP-ICE item!

A confirmation prompt is required to start navigation to the location. If this feature is enabled, the starting point coordinates are sent directly to the ICE Contact(s) in an alert email for safety reasons.

Some of this information is mandatory because we need it to provide you with our services. For example, we need your email address to communicate with you and your name and address to send an order. Non-essential information can be provided upon request. This information is not mandatory, but it does make troubleshooting easier.

Our website communicates with you via an SSL connection. This means your data is sent and stored via an encrypted connection, preventing it from being intercepted by malicious parties. You can therefore be assured that your data will only reach HELP-ICE.

HELP-ICE.com uses a data center in the Netherlands and is ISO 27001 / NEN 7510 certified for Information Security in Healthcare, as well as a dedicated server with current software updates and a data backup system.

During the ordering process, we do several other things to make placing an order easier. We store the information you provide when placing an order in a session. If you continue browsing our site and return to the page later to order products, you do not need to re-enter your information. This information is deleted when you close your browser.

Your IP address and browsing behavior:

In addition to your standard data, our website records several elements of your visit. For example, we record the device you use to navigate our site. We also track how you use our site. For example, we record how often brands, models, product groups, and products are clicked on and viewed. Your search queries are also recorded. Furthermore, we record browsing behavior patterns, such as what visitors do after adding products to their shopping cart or when they submit a question via the contact form. We also record whether you have opened our newsletter and the emails we send you about your order.

We also store a reference to your shopping cart in our database in a cookie on your computer, which remains valid for one month. This ensures that you can continue where you left off when you return to our website later. This data is automatically deleted after one month. What does HELP-ICE do with your data?

Your name and address details:

Your name and address details are used for various purposes, depending on your relationship with us. If you have placed an order, the information is used to deliver it. Your email address is used to keep you informed about the status and progress of your order via automatically generated messages. In case of problems or uncertainties, we may use your telephone number, if you have provided it. For inquiries via our email address or the contact form, your information is used to answer your questions. If you have subscribed to the newsletter, your email address is also used for marketing purposes.

In addition, your data is used in a more anonymous form to obtain statistical information. This allows us to determine the success of certain local marketing activities based on postal code analysis, see how effective promotional campaigns are for regular customers, or determine the ratio of businesses to individuals placing orders with HELP-ICE.

Your information will never be shared or sold to third parties.

  • Your email address will only be used to inform you about the progress of an order or to answer questions. We will also send newsletters to your email address only with your express consent.
  • If you no longer wish to receive newsletters, you can unsubscribe.
  • Your information will be sent to us exclusively via encrypted pages and stored in a secure database where limited access ensures that only those who need to have access will have access.
  • Your payment information, such as your bank account number or PayPal account, will be processed via encrypted connections and stored encrypted for a short period of time to process a refund. This information will not be used for any purpose other than processing your order and processing the refund.

Your IP address and browsing behavior:

Insight into how you use our website can help us improve it. Your IP address is used to record patterns. Because your IP address accesses certain pages on our site, the course of those visits can determine how you use the site. This allows us to serve you even better. This information is stored anonymously and is not used for any purpose other than improving our services. We cannot and will never contact you based on this information, as it is not available.

Request for access:

According to new European legislation, you have the right to access what data we have collected about you. If you have created an account or placed an order in the past and would like to see what data we have stored about you, you can submit a request for access. To do so, please send an email to our customer service from the email address you submitted your request. We aim to send you a complete overview within two business days.

How long does HELP-ICE store your data?

Your order
In the Netherlands, it is mandatory to retain all invoice data for 7 years so that the tax authorities can perform accounting audits. After 7 years, we delete all customer data from your order. We can still see what has been sold, but not to whom.

Your account
If you create an account, you have access to the data we have stored about you. We will automatically delete your account if no orders have been placed or there has been any profile activity for 7 years. If you wish, you can delete your account sooner. Data that is not required for our administration, such as your email address, phone number, address book, and newsletter subscription, can be deleted upon request. Data from invoices will then still be retained for 7 years.

Other data
Data that is not relevant for administration, such as your search queries, display settings, and browsing behavior, will be retained with your personal data for a maximum of 1 year. After one year, we will delete all links to your account and only store this data in anonymized form.

How do you monitor security?

You can contact us after your visit to request that your data be deleted. We will then delete all data that is not required to be retained from our database.
